Confidential Secretary
Department of Public Works, Property & Engineering
Salary: Commensurate with experience
Definition: Under direction provides essential support services to the Department and performs clerical work of a varied nature that requires a thorough working knowledge of County procedures, rules, and regulations. Work may be of a confidential nature, including preparing and verifying payroll and maintenance of records. Performs other related duties as assigned.
Examples of Work:
•Reviews, sorts, and routes incoming correspondence and independently prepares response letters on routine matters.
•Prepares or assists in the preparation of reports by gathering data and relevant information.
•Sees that pertinent material is obtained from files and other sources, arranges it in usable form, and prepares memoranda and summaries as required.
•May provide information to those requesting it including department personnel, representatives of state, local, and other groups, organizations and agencies, and to the public in accord with established policy.
•Prepares meeting agendas, takes minutes and puts into official form.
•Processes personnel action forms, maintains personnel records and gathers sensitive or confidential information or data.
•Assist in preparing and verifying payroll.
•Maintains records and files.
Knowledge:
• Knowledge of secretarial, clerical, and other office routines, procedures, and practices, and their application to specific situations.
• Knowledge of basic computer applications.
• Ability to read and interpret department regulations, programs, standards, and procedures.
• Ability to accurately type correspondence and reports.
• Ability to compute arithmetic calculations.
• Ability to organize assigned clerical work and develop effective work methods.
• Ability to understand, remember, and carry out oral and written directions.
• Ability to perform tasks accurately within prescribed time frames.
• Ability to work effectively with others.
Requirements:
•High school diploma or GED
•Read, write, speak, understand, or communicate in English sufficiently to perform the duties
•Four (4) years of experience in clerical work is preferred.
•Valid New Jersey driver's license
